ExeGOG RISK ASSESSMENT and REGULATIONS For Running Meetings During Covid 19 Situation
To Be Used in Conjunction With SPECIAL CONDITIONS OF HIRE Document

Knowledge of situation ExeGOG to circulate Special Conditions of Hire (SCH) Document to all members.
Emphasise that Hire and Attendance is conditional on compliance by all to SCH ExeGOG to appoint Responsible Person (RP) to "Manage" meeting, according to SCH Secretary to ensure that any necessary paperwork: SCH, Attendance Record Sheet (ARS) is provided prior to meeting.
Prior to meeting, RP/Secretary to inform Hall Booking Secretary (BS) of number of tables and chairs required
Hygiene Prior to Meeting Refer to SCH. ExeGOG to purchase and maintain stock of PPE (facemasks, gloves, antiseptic wipes) To be kept in shed with layout?
Kept by RP?RP to carry out pre-meeting Hygiene Process before admittance of members to Hall.
RP to ensure that all members Sign ARS on entry to Hall
Process of Meeting RP to give brief talk on SCH regulations: social distancing, use of hall equipment, use of toilets, no-go areas, one-way system, isolation area etc.
All members to comply with SCH regulations System to be devised for access to storage and erection, use of, and dismantling/packing away of Group Layout; to ensure minimum handling and contact between members. Gloves to be worn?
All members to bring own drinks/refreshments/cups etc
Close of Meeting Refer to SCH, and Exit Checklist.
Ensure that all Exiting Procedures are carried out, and checklist is filled in.
All members to assist where necessary with the Exiting Procedures, and comply with requests from the RPRS to keep ARS securely for required 21 day minimum period. Make it available to BS or NHS if required.
Falling ill with Covid during meeting Refer to SCH. RP to ensure that SCH regulations are carried out, including Exiting Procedure.
All members to comply with SCH regulations and requests from RP. Afterwards comply with general quarantine regulations.
RP to inform BS and make ARS immediately available.
Falling ill with Covid after meeting Refer to SCH. Inform RPRP to inform BS, make ARS available to NHS

We meet at Whimple near Exeter EX5 2TS mostly twice a month.
